Academic Scholarship

Formal academic pathways—from secondary through tertiary study—with funding tied to clear rules, fair assessment, and accountable governance. The sections below describe how the programme works from application to renewal.

1. Overview

The Academic Scholarship supports learners who are enrolled or accepted into recognised academic programmes and who demonstrate both need and commitment to their studies. Awards are intended to cover or subsidise tuition and closely related academic costs within an annual budget approved by the association.

What this programme covers

  • Secondary and post-secondary academic study at institutions the association recognises for this scheme.
  • Support that is aligned to published fee structures and approved expense categories—not open-ended cash grants.
  • A relationship with the scholar that includes check-ins on progress where the programme design requires them.

2. Eligibility

Eligibility is assessed against the criteria in force for the intake cycle. Applicants must meet every mandatory requirement; meeting minimum criteria does not guarantee an award.

  • Admission or active enrolment in an academic programme that falls within the scope announced for the cycle.
  • Demonstrated financial need, evidenced through the documentation listed under Required Documents.
  • Satisfactory academic standing or equivalent for the level of study (e.g. recent results or placement where applicable).
  • Compliance with any residency, age, or priority-group rules published for that cycle.
  • No undisclosed concurrent award from another scheme for the same costs, unless the committee has approved an exception in writing.

3. Application process

Applications are accepted only during official windows and through the channels announced on our website or official notices. Incomplete or late submissions are not considered.

Steps

  1. 1Review the eligibility rules and required documents for the current cycle.
  2. 2Complete the official application form in full and sign where indicated (guardian signatures apply for minors).
  3. 3Submit the form and supporting documents by the stated deadline, using only the approved submission method.
  4. 4Receive acknowledgement of receipt where the process provides one; absence of acknowledgement does not waive the deadline.
  5. 5The secretariat verifies completeness; eligible files proceed to the selection committee.
  6. 6Outcomes are communicated to applicants through the official channel; unsuccessful applicants may re-apply in a future cycle unless otherwise stated.

4. Required documents

Provide clear, legible copies unless originals are explicitly requested. Documents in languages other than the working language of the cycle may need certified translation.

  • Completed application form for the Academic Scholarship stream.
  • Proof of identity (e.g. national ID or equivalent) for the applicant; guardian ID where the applicant is a dependent minor.
  • Proof of admission or current enrolment (letter or student card) from the institution.
  • Recent academic records or transcripts relevant to the level of study.
  • Evidence of household income and circumstances (e.g. payslips, affidavit, or other items specified in the cycle notice).
  • Fee schedule or invoice showing tuition and mandatory charges for the period covered by the application.
  • Any additional items named in the published checklist for that intake (e.g. reference letters).

5. Selection criteria

The committee scores applications against a fixed framework so that similar cases are treated consistently. Weights may be adjusted between cycles but are always published before applications open.

  • Financial need relative to the cost of the programme and other support available to the household.
  • Academic merit or potential, consistent with the level of study and evidence supplied.
  • Alignment of the proposed course of study with programme priorities announced for the cycle.
  • Quality and completeness of the application; clear, honest disclosure of other funding sources.
  • Where applicable, priority categories defined for that cycle (e.g. geographic focus, field of study)—applied transparently to all applicants.

6. Scholarship support

Support is paid or arranged according to approved procedures—usually direct to the institution or through a documented schedule—not as unrestricted cash to the scholar, unless a rare exception is approved and recorded.

  • Tuition and mandatory institutional fees within the approved annual amount.
  • Approved academic materials or examination fees where explicitly included in the award letter.
  • Mentoring or pastoral check-ins where the programme assigns them; scholars are expected to respond to reasonable requests for progress updates.
  • Scholars must notify the secretariat without delay of withdrawal, deferral, disciplinary action, or duplicate funding affecting the same costs.

7. Duration & renewal

Duration

An initial award is made for a defined period (typically one academic year or the remainder of a year, as stated in the award letter). Support beyond that period is not automatic.

Renewal

Renewal requires a separate application or renewal pack, submitted on time, showing continued eligibility and satisfactory progress.

  • Continued enrolment in good standing and meeting minimum academic thresholds set for renewal.
  • Updated financial and academic documentation as specified for continuing scholars.
  • Availability of funds in the annual budget; renewal is competitive when demand exceeds resources.
  • The committee may decline renewal even if prior support was granted, based on current rules and comparative merit.

8. Governance

Academic Scholarship decisions are separated from day-to-day administration through defined roles, documented procedures, and oversight compatible with donor and public expectations.

Committee

A dedicated selection committee (or sub-committee of the welfare board) is responsible for evaluating eligible applications and recommending awards within the approved budget.

  • Members are appointed by the governing body for fixed terms, with alternates where the rules provide for them.
  • Members declare conflicts of interest and abstain from decisions affecting applicants with whom they have a close personal or financial tie.
  • The committee meets on a published schedule during intake cycles and maintains minutes of recommendations and budget alignment.
  • Staff provide logistical support and factual verification but do not vote on individual awards unless the governance framework explicitly allows ex-officio voting.

Terms of Reference

The committee operates under written Terms of Reference (ToR) approved by the board. The ToR typically includes:

  • Purpose and scope: which programmes and intake cycles the committee covers.
  • Composition: number of members, quorum, chairmanship, and secretariat support.
  • Decision rules: scoring framework, tie-breaking principles, and delegation limits (e.g. maximum award per scholar).
  • Confidentiality and data protection: handling of applicant information before, during, and after selection.
  • Reporting: how recommendations are presented for ratification and how summary statistics are reported to the board and, where appropriate, the public.
  • Review: periodic ToR review to reflect policy changes, audit findings, or donor requirements.
